Roles and Responsibilities

Advertising and Marketing

We… can help you sort through the pros and cons, the costs, the message, the media and the target audiences.

You… can take time to review the Marketing Guide and be prepared to answer the questions posed within.

Brand Management

We… can show you how to leverage the power of UMR brand for your event, marketing materials, or promotions, while helping you maintain your individual program’s uniqueness.

You… can verbalize or demonstrate what “look” or “feel” you’d like your program or department to have. Help us keep our UMR brand consistent by reviewing the Graphic Standards.

Community Engagement and Networking

We… can help you find your niche and connect you with the right resources to get you engaged in the community. We will also help to keep you up-to-speed on internal events and opportunities!

You… can consider what type(s) of community engagement and networking opportunities you might be interested in, whether it's volunteer or service work, leadership opportunities, or committee and Board of Directors participation.

Display Monitors

We… can develop a slide for you to display on the UMR monitors to ensure that guests, staff, faculty, and students have access to learn about your event or notice 24/7.

You… can submit a request to Julie Sawyer at sawyer@umn.edu at least 48 hours before you’d like it displayed.

Emergency, Crisis, and Weather Communications

We... have taken time to develop emergency and crisis management plans that employ a number of notification methods and potential scenarios to help you survive an incident. We will also inform the media about weather-related UMR closings.

You... can take time to review the Emergency Communications Plans we've developed - that information could save the life of you - or someone else!

Events Calendar

We… can help you formulate a message to promote your event on the UMR Events Calendar. We’ll also send regular prompts to help you remember to get your events listed!

You… can work with your trained support staff to regularly post any public or private events in your area. Let’s keep our website fresh and functional! If you or your staff needs training, contact Julie Sawyer at sawyer@umn.edu.

Event Planning

We… can help you with resources and templates to better determine space needs, food/beverage, invitation development, and other event components. Check out this list of Event Planning Tips and Tricks for ideas!

You… (or your support staff) can submit your Marketing Work Order at least two weeks before you hope to begin advertising to ensure timely completion of marketing materials. Work with your support staff for room reservations, set-up, catering and other details as addressed in our Event Planning Template to ensure all your needs are covered well in advance.

Graphic Standards

We… can help you navigate the guidelines and policies of both UMR and the University of Minnesota in the UMR Graphics Standards Manual.

You… should be aware that we aren’t looking to limit creativity but rather to maintain a consistent brand with all of our UMR marketing media. By following the standards we’ve put forth, you help to ensure that UMR is easily recognizable, no matter which program or event we’re promoting.

Logos and Wordmark Usage

We… keep a variety of versions of logos and wordmarks available for use. We can help you decide what to use and how to use it.

You… can request assistance when in doubt about the use of logos and wordmarks. Don’t alter logos or wordmarks and follow the Graphics Standards.

Marketing and Print Materials

We… can design professional print materials in-house or we can help you find an outside source to help with your project, depending on your budget and timeline.

You… can completely and accurately fill out an electronic Marketing Work Order or contact Kathy Musolf at musol001@umn.edu to tell us your needs so we can help you make the right connections to get what you want.

Media and Reporter Management

We… work to accommodate the schedules and requests of reporters while doing our best to minimally impact day-to-day learning and teaching at UMR. We can also help you to prepare for on-camera, telephone, and in-person interviews with the media.

You… can help us by being open to media interview requests when appropriate and when they accommodate your schedule. We appreciate any time you can lend to the tell the UMR story, but do not wish to impact your ability to complete the functions of your job at UMR. Photo and Video Library - COMING SOON!

We... will maintain an updated selection of UMR photos and videos that you can access for your marketing needs.

You... can email Julie Sawyer at sawyer@umn.edu for permission to access images and videos. Please include an explanation of intended usage. You can also work with your support staff t organize your individual program's photos and videos and make them available for use, if you wish.

Press Releases

We... can get the word out about all the great things happening at UMR!

You... can utilize the online Press Release Form to submit events and happenings so we can share the most accurate and timely information with the media. Remember – we can’t promote something we don’t know about!

Social Media

We… can help to determine whether you would benefit from using social media and how you can manage it.

You… can review our Social Media Guidelines and make a request of Sarah Oslund at soslund@umn.edu prior to launching any social media pages. If you are given rights to start a page, you or your support staff will be responsible for consistently updating the pages to keep the site fresh.

Trademark Information

We… can guide you in the use of trademark, licensing, and copyrighted materials.

You… can come prepared to share the purpose and value of using trademarked material, while understanding that some licensing requests must go through the Twin Cities campus.

Website Content

We… will keep our home page, About UMR, and our News and Events pages fresh! We will also help to review your content when requested and provide suggestions to ensure your individual pages engage your intended audience.

You… can ensure that your content is up to date by reviewing your information regularly and engaging your support staff to complete necessary updates. If you have questions about what specific web pages you are responsible for, please review the Web Update Roles and Responsibilities.
